📤 Step 1: Publish Power BI Report
Before publishing, make sure:
👉 You are logged into your Power BI account
Now:
➡️ Click Publish in Power BI Desktop
➡️ Select your Workspace (e.g., Ecommerce Dashboard)
➡️ Click Select
⏳ Within a few seconds, you’ll see:
✅ Published Successfully
📊 Step 2: What Happens After Publishing?
Once published, two important items are created:
📌 Report → Used for viewing dashboards
📌 Dataset → Used for refresh & settings
👉 You can access them from your workspace in Power BI Service
🔍 Step 3: Validate in Power BI Service
After publishing:
✔ Open the report
✔ Check all pages and visuals
✔ Change date filters
✔ Ensure everything works correctly
💡 If any issue:
👉 Go back → Fix → Republish
🔄 Step 4: Refresh the Dataset
Now click:
➡️ Refresh Now
👉 You may see:
❌ Refresh Failed

⚠️ Why Refresh Fails?
If your data source is:
👉 Local machine (e.g., SQL Server in your laptop)
Then:
❌ Power BI Service (cloud) cannot access it directly
👉 That’s why refresh fails
🌉 Solution: Install Gateway
To connect:
👉 Local system ↔ Cloud (Power BI Service)
You need:
👉 Gateway
🔌 Types of Gateway
1️⃣ Personal Gateway
✔ Used for learning / personal use
✔ Installed on your system
2️⃣ Enterprise Gateway
✔ Used in companies
✔ Installed on server
✔ Shared across team
💡 In real projects → Mostly Enterprise Gateway is used
⚙️ Step 5: Install Personal Gateway
Steps:
➡️ Go to Power BI Service
➡️ Click Download → Data Gateway
➡️ Choose Personal Mode
➡️ Install
During setup:
👉 Use same login as Power BI account
Once done:
✅ Gateway status = Online & Ready
🔑 Step 6: Configure Credentials
Now go to:
➡️ Dataset Settings
➡️ Data Source Credentials
Set:
✔ Authentication → Windows
✔ Privacy Level → Private

Now:

🚨 Gateway must always be:
✔ Installed
✔ Running
✔ System should be ON
❌ If your system is OFF → Refresh will fail
